Coronavirus—Protecting you and our staff

Dear Clients,

 

We sent out a letter last week addressing the Coronavirus pandemic. A lot has happened since that time. The Governor has shut down schools and public services where a gathering of people is at risk. Churches have limited their services. Independent living facilities and nursing homes are under quarantine Sporting and other recreational events have been canceled or postponed.

 

As of the writing of this letter, there is a case of the virus in Waynesburg, PA. No known cases are yet in West Virginia.

 

To assist in the prevention of the spread of the virus, we have decided to limit our public contact with our client when it comes to tax preparation. We have established the following protocols:

 

1. Our offices are still open.  If you call in, our receptionists are here to assist you.  We have a drop box at the front desk.  You can submit your documents to us by:

 

a. Stopping by the office and dropping off,

b. Uploading an electronic copy to your portal,

c. Scanning your documents and attaching to an email.  The documents can be sent to Martha@cpawv.com. ;Or if you know the email address of your tax preparer, send it to them directly.

 

2. Once your documents are received, our tax preparers will prepare your tax return from home.  We will not be conducting face-to-face meetings for the rest of the tax season.  After your tax return is prepared, they will call you and go over the return with you.  We do have the means to video chat over the computer.  The tax preparer can call you to discuss how this can be established with you.  We can actually show you your tax return online during the video discussion.  If you desire a draft copy of your tax return, we can upload this into your portal or send you a copy attached to an email.

 

3. We will have a process in place to make sure that you electronically sign the Form 8879, Authorization to Electronically File to timely file the government tax return.  The same procedures will be used to send you a voucher to pay the tax due on any 2019 tax that may be payable as well as any 2020 first-quarter estimated payment.  We will likely postpone the delivery of your final tax return client copy to a later date. 

 

4. Finally, we will ask that upon completion of the tax return that you make your payments to our firm by either sending us a check or making a credit card payment through the portal.  You can also call our front desk with credit card information.
